As a Sales Administrator, you'll be responsible for supporting the sales team by managing incoming enquiries and invoices. You will also be responsible for maintaining an accurate record of our clients' records in order to assist with future quoting and proposal processes. You will use Microsoft Office tools such as Excel, Word and Outlook to manage our data from start to finish, including preparation of quotes/proposals, sending out invoices and organising reports.
Requirements
- Assists with, but does not do, training for all departmental staff (including sales representatives).
- enerating quotes for clients directly and/or on behalf of Sales Team.
- Influence the price and margin, by suggesting different products dependant on lead times, promotions, alternative suppliers and programmes.
- Respond to all quote request within 24 hours that are sent to the sales mailbox.
- Establish relationships with vendors and coordinate everyday interactions, queries and general information sharing with them regarding specific sales requests.
- Quality check that signed contracts are received before purchase orders are placed with vendors.
- Generate purchase orders to be sent to vendors for client orders to be implemented and/or distributed.
- Engage with vendors regularly and ensure pricing is current and relevant at all times.
- Responsible for general administration as well as document control.
- Accurately capture information provided by sales team following the sales process.
- Provide administrative support to the sales force when it is required.
- Will be required to prepare reports using the CRM systems.
- Sales administrators may be required to assist with larger Tender responses when needed
- Sales administrators may be required to assist with larger Tender responses when needed.
- Manages multiple projects and campaigns simultaneously, maintaining a highly productive work environment.
- Ensures all internal and external vendors have proper documentation and documentation standards that are adhered to.
Knowledge, skills and attributes:

- Must be service oriented and have a positive attitude to work.
- Solid knowledge and understanding of sales processes, tools and methodologies would be advantageous.

- Ability to use judgement to make decisions about work process and apply improvements.
Qualifications
- High / Secondary School
- Tertiary Education degree / diploma
Experience required:
- Substantial experience with quoting tools would be an advantage.
- Substantial administration experience, particularly quote to cash processes.
- Experience managing work processes.
- Have an understanding of ICT and vendors involved.
