Main Purpose
The main responsibility of this position is to assist with the existing commercial contracts administration
Duties and responsibilities
1. Projects
◼ Manage commercial aspects of new and existing contracts, namely:
◼ Accounts details on order handover stage.
◼ Manage contracts schedule
◼ Perform monthly internal audits on project files to ensure that all procedures are followed.
◼ Authorise project close out on contract completion.
◼ Reconcile complex projects accounts including long term agreements.
2. Stock
◼ Create new stock codes, following recent MRP procedures.
◼ Ensure correct costing of buy-out items or 3rd party contracting services.
◼ Manage project stock, ensuring all invoicing is up to date and that the stock reflected is physically correct (WIP)
3. Commercial Administration
◼ Performance Bonds and Bank guarantees – company branches
◼ Delivery notes and loading sales orders in SYSPRO (company A, B and 3)
◼ Invoices (company A, B and 3).
◼ Ensure sums are invoiced in accordance with agreed milestones.
◼ Obtain indices from SEIFSA and generate CPA calculations when needed.
◼ Forecast milestone invoicing.
◼ Assist Contracts, Proposal and Sales team with commercial and other queries
◼ Assist Customers with commercial and other queries.
◼ Assist company South Africa branches and sales team with commercial and other queries.
4. Reports Monthly
◼ Sales reports for company branches
◼ Debtors’ report for company branches
◼ Open orders report for company branches
◼ Assist the Debtors’ Department in monitoring payments for the company
5. SYSPRO
◼ Capture customer orders (Company A, B and 3).
◼ Load and capture invoices (Company A, B and 3).
◼ Delivery notes (Company A, B and 3)
◼ Load and capture purchase orders (Company A, B and 3)
Ensure all sales orders and purchase orders are captured correctly (Company A, B and 3)
Qualifications and Experience
◼ Matric with English.
◼ 3 years’ experience in the Projects and Commercial Administration Field.
◼ Good command of the English language and communication skills.
◼ Computer literacy – good knowledge of Windows and Excel, Syspro experience.
◼ SAP Experience
Special Requirements
◼ A legal driving licence.
◼ Must be able to read, write, speak and understand the English language.
◼ Must be able to communicate clearly and concisely, orally and in writing, including formal communication and making presentations.
◼ Must possess the ability to make independent decisions when circumstances warrant.
◼ A sense of urgency with a strong customer service orientation.
◼ Hard working, resourceful, ambitious with excellent business acumen.
Working Conditions
◼ Mainly office based (Wadeville).
◼ Is subject to work beyond normal working hours, evenings, weekends and holidays should the need arise.
◼ Required to attend and participate in continuing educational programs designed to keep you abreast of changes in your profession.
