We have a vacancy for a passionate individual with a strong human resources background and good communication skills. The human resource officer should be ready to work in a fast-paced environment, strive to provide excellent service to employees as clients, and have a positive and confident attitude. The incumbent should take confidentiality very seriously and be able to work well with people.
The incumbent will report directly to the human resource manager, work hand in hand with the human resource assistant, and actively liaise with other functional departments within the company.
Key Performance Areas
Operations
- Recruitment
- Post job adverts on job portals
- Shortlist candidates meeting the minimum requirements for the job
- Notify qualifying candidates of interview details
- Verify to ensure interview packs are prepared accordingly
- Welcome and usher candidates for interviews
- Create jobs and test batteries on the Criteria System and send psychometric assessment links to candidates
- Verify to ensure offer letters and employment contracts are prepared accurately
- Send regret letters to unsuccessful candidates
- Employee Onboarding
- Organise resources for new employees, including IT and email access, and uniforms as appropriately required
- Assist in coordinating and preparing for the induction of new staff
- Timely inform and coordinate with the SHEQ office on when the onboarding of new staff is scheduled to take place
- Payroll
- Update the payroll input sheet upon management instructions and staff requests in a timely manner
- Ensure all associated payroll paperwork, including new start and leaver records, are processed, submitted, and stored appropriately
- Send the loan balances to finance monthly after closing the payroll
- Compliance
- Assist the HR manager by drafting company policies and revisions
- HR System
- Ensure the relevant HR database is up to date, accurate, and complies with legislation (BEE gathering sheet, training history, PP+, skills matrix, etc.)
- Employee Relations
- Assist with general queries from managers and employees and escalate complex issues for the HR manager's attention
- Keep the HR manager informed of any material decisions reached during any general inquiries
- Draft warning letters upon instruction
- Prepare files for disciplinary hearings and CCMA cases
- BEE Transformation
- Update all the BEE datasheets monthly:
- Finance – skills development levy
- Employment equity
- Skills development
- Supplier and enterprise development
- Social economic development
- Employee Engagement and Wellness
- Collaborate with relevant stakeholders to timeously plan all events and activities relating to employee engagement and health awareness calendar
- Training and Development
- Update the training report, training plan, and training matrix monthly with employee training to be attended, training that has already been attended, and certificates at hand
- Ensure all training records are obtained and saved accordingly
- Manage training renewal by setting reminders on the HR system two months before expiry and book training according to specifications to ensure that employee certificates are always valid
- Manage all enrolled training to ensure results are received as per the employee training schedule and inform the HR manager of any deviations
- HR Expenditure Sheets
- Check the HR expenditure sheets received from finance monthly and confirm the spending
- Administration
- Email and print IRP5s for all employees
- Send provident fund member benefit statements to all provident fund members in January each year and when required by members
- Employee Benefits Administration
- Ensure employee benefits documents are accurately completed by new employees
- Timeously prepare and send employee benefits (provident fund and medical aid) schedule and forms to the administrators once approved by the HR manager, and copy the HR manager on the email
- Assist terminated employees in completing benefit withdrawal forms and timeously send them to administrators once approved by the HR manager, and copy the HR manager
- Verify benefits monthly billings to ensure alignment with the data sent and raise any anomalies with the HR manager
- Communication
- Be the first point of contact for all HR-related queries
- Keep employees updated and informed on any relevant HR company developments
Recruitment Profile
- Experience: Three to five years of experience in a similar function
- Qualifications: Matric (Grade twelve), three-year diploma or a degree in HR management
