The Contract and Grant Accountant will play a supportive role to the Contracts Manager and other senior staff within the finance department, ensuring all processes are accurate and compliant and contributing to the overall efficiency and success of the research projects/grants. The ideal candidate will have a strong background in accounting, with experience in grants and contract administration being beneficial.
Key Performance Areas (KPAs) & Responsibilities include, but are not limited to:
- Assisting with tracking of grant funds, ensuring proper allocation and expenditure in accordance with grant agreements and organizational policies.
- Assisting with the preparation and review of financial reports related to grants, ensuring accuracy and compliance with sponsor requirements.
- Assisting with the monitoring and reconciliation of grant accounts, resolving discrepancies as needed.
- Assisting with the preparation of schedules and collection of supporting documents for grant audits and reviews.
Budget Assistance:
- Assisting in the development and preparation of detailed budgets for clinical research studies.
- Working with the Contracts Manager and finance team to ensure budgets are comprehensive and accurate.
- Helping to monitor budget adherence throughout the lifecycle of the clinical trials, identifying and addressing variances.
- Assisting with keeping the costing module updated for future contracting and/or budgeting.
Contract Support:
- Assisting in drafting, reviewing, and negotiating clinical trial agreements, site contracts, and other related documents.
- Ensuring contracts comply with company policies, legal requirements, and regulatory standards under the guidance of senior staff.
- Coordinating with legal, finance, and clinical teams to assist in finalizing agreements.
Administrative Support:
- Assisting with processing of participant reimbursements.
- Administrating petty cash at Head Office.
- Maintaining accurate and organized records of budgets, contracts, and regulatory submissions.
- Assisting in generating regular reports on budget status, contract progress, and regulatory compliance for management review.
- Supporting the preparation of financial and regulatory audits as needed.
Qualifications:
- Experience in grant accounting, contract management, or a related field (advantageous).
- Strong knowledge of accounting principles and financial reporting.
- Experience with budgeting and financial analysis.
- Proficiency in accounting software and Microsoft Office Suite (Excel, Word, PowerPoint).
- Excellent attention to detail and organizational skills.
- Strong analytical and problem-solving abilities.
- Accountability and able to work independently and collaboratively in a fast-paced environment.
- Flexibility to travel occasionally to clinical trial sites and meetings.
