Job Responsibilities
Responsible for generating bookings, maintaining high guest satisfaction, managing staff, attending to administrative tasks, and maintenance/care of the property and garden, including but not limited to:
- Responsible for reservation enquiries, emails, proforma invoicing and confirmations of bookings.
- Collection of payment for reservations, checking in and out of guests and preparation/completion of necessary records.
- Maintain 4-star hospitality grading, and excellent ratings on Booking.com, Airbnb and all other channels.
- Marketing of the guesthouse to attract local and international guests and meet budgeted minimum revenue and occupancy targets.
- Manage/improve social media presence.
- Maintain website and accounts on all booking channels to optimize the guesthouse profile to viewers.
- Propose revenue & occupancy goals ahead of each year, along with rack rates considering seasonality. Rates to be adjusted and promotions introduced as needed to boost revenue and meet goals.
- Identify upsell opportunities to increase revenues.
- Understand the monthly fixed operating costs/budget to be covered and manage operating costs.
- Prepare quarterly update on breakfast cost, amenities & housecleaning allocations.
- Propose breakfast offering and amenities to be provided when the entire house is booked out.
- Preparation of breakfasts for guests.
- Attend to necessary maintenance and repairs.
- Prepare and continuously update a list of necessary capital expenditures in order of priority and proposed timing for owner’s review and approval at least quarterly or immediately if urgently required.
- Maintain a list of long-term upgrades that would enhance the guesthouse and customer experience/satisfaction.
- Food and supplies procurement as required to run the guest house, taking advantage of month-end specials, etc. to manage costs as best possible.
- Update petty cash book records and timely electronic filing of all invoices for payment.
- Ensure appropriate insurance coverage, employment practices, and attend to other hospitality compliance requirements.
- Manage staff schedules/temp shift list.
- Propose changes that may add to guest satisfaction considering cost/benefit.
- Oversee cleanliness of rooms and common areas, as well as adequacy and condition of linens, towels, bathroom amenities & other guest amenities provided in advance of each check-in.
- Monitor kitchen, pantries and all cupboard stores for cleanliness, proper organization, and stocks.
- Take a full inventory upon hire and prepare listing. Determine schedule for subsequent stock-takes and report to owner as needed.
- Maintain a list of websites, account logins and passwords for all business-related activities.
- Maintain a list of all business-related contacts – painters, temps, electricians, plumbers, etc. along with any pertinent notes.
- Oversee gardener’s work, maintaining the gardens according to owner’s vision for long term aesthetic.
Minimum Requirements:
- Hospitality certification preferred.
- At least 5 years’ experience as a guesthouse manager or similar role.
- Computer proficiency in Microsoft Office suite, Nightsbridge, various booking Channels, and social media.
- Prior employment references.
- Own vehicle and valid driver’s license.
