\n\n\t\t\t The Scope \n\t\t\tFSC International Center with its Performance and Standards Unit \n\t\t\tis responsible for setting requirements for responsible forest \n\t\t\tmanagement and chain of custody all over the world. \n\n\t\t\t\n\n\t\t\tThis work requires collaboration with many parties and is performed \n\t\t\tby a large team of staff in the FSC Office in Bonn, as well as by \n\t\t\tcolleagues working remotely.\n\n\t\t\t\n\n\t\t\tTo perform our work effectively, our unit needs an excellent and \n\t\t\tproficient administration management making sure that contracts are \n\t\t\testablished following due and timely process, invoices are verified \n\t\t\tand processed in a timely manner, events and meetings are organized \n\t\t\twell in advance, as well as that unit-wide processes for travel and \n\t\t\tbudget management run smoothly.\n\n\t\t\t\n\n\t\t\tYour role will be to bring our administrative management to the next \n\t\t\tlevel to ensure a seamless day-to-day management of all \n\t\t\tadministrative operations, including centralizing and standardizing \n\t\t\tadministration processes and close collaboration with respective \n\t\t\tprogramme leaders in our unit. You will be coordinating procurement, \n\t\t\tcontracting, budgeting, travel and invoice management, and will be \n\t\t\tguiding the PSU team currently consisting of two administrative \n\t\t\tassistants.\n\n\t\t\t\n\n\t\t\tGiven the high level of required coordination, planning, and time \n\t\t\tmanagement skills, we will welcome a candidate experienced not only \n\t\t\twith administrative or executive assistant work, but also with \n\t\t\tproven project management skills.\n\n\t\t\t Operations Manager (m-f-d) \n\t\t\n\n\t\t\n\t\t\t Main Roles & Responsibilities \n\t\t\t\n\n\t\t\t\t* To manage the handling of contracts, including establishment \n\t\t\t\tof PSU-relevant procedures, automation, coordination of contract \n\t\t\t\tprocesses across the unit, drafting, uploading in DocuSign, \n\t\t\t\tliaising with the Procurement team and Legal department, filing, \n\t\t\t\tetc.\n\n\t\t\t\t* To manage the handling of invoices, expense statements, and \n\t\t\t\tvirtual card payments, including automation and management of an \n\t\t\t\tinvoice registry, preparing for signature, scanning, filing of \n\t\t\t\treceipts, liaising with the Finance department, etc.
\n\n\t\t\t\t* To ensure quality management by analyzing the contents of \n\t\t\t\tdocuments (including contracts, invoices and other documents). \n\t\t\t\tunder handling to identify inconsistencies, errors and any \n\t\t\t\tregular mistake patterns, as well as other issues needing \n\t\t\t\tcorrections and training of responsible staff. \n\n\t\t\t\t* To oversee making and coordination of travel arrangements \n\t\t\t\tfor working group members, members of the Policy and Standards \n\t\t\t\tCommittee, senior unit staff and guests, and to provide \n\t\t\t\tlogistical support, including for visa applications, booking of \n\t\t\t\tflights, hotels, other means of transportation, etc.
and liaise \n\t\t\t\twith the FSC Travel Manager as necessary.\n\n\t\t\t\t* To oversee and centralize logistics related to in-person and \n\t\t\t\tvirtual meetings, book meeting venues and hotels by liaising \n\t\t\t\twith the Procurement team, and venues.\n\n\t\t\t\t* To serve as central point of contact of the unit for \n\t\t\t\texternal correspondence and general enquiries. \n\n\t\t\t\t* To ensure and coordinate general administrative support to \n\t\t\t\tthe unit. \n\n\t\t\t\t* To duly manage and file relevant documents (e.g., contracts \n\t\t\t\tand invoices), as well as organize folders according to the PSU \n\t\t\t\tSharepoint instructions.\n\n\t\t\t\t* To liaise with administrative staff in other organizational \n\t\t\t\tunits to address common issues, identify root causes and \n\t\t\t\teffective solutions, and raise/ escalate issues towards \n\t\t\t\tmanagement as necessary.\n\n\t\t\t\t* Additional tasks as agreed with the PSU Directors.\n\n\t\t\t\n\t\t\n\t\t\n\n\t\t\n\t\t\t Your profile \n\t\t\t*Education and Training:* \n\n\t\t\t\n\n\t\t\t\t* MBA or proven project management qualification is preferred.
Vocational training or equivalent in a commercial occupation (min of BSc.), qualification in office management, e.g., from business school might be accepted depending on the level of experience and excellence achieved (e.g. min of Bürofachkraft known within Germany).\t\t\t\t\n\n\t\t\t\n\t\t\t*Working Experience, Style and Skills:* \n\n\t\t\t\n\n\t\t\t\t* At least 5 years of professional experience in one or more \n\t\t\t\tof the following areas: project management, administration, \n\t\t\t\toffice management.\n\n\t\t\t\t* Project management certification and proven records of \n\t\t\t\tsuccessful completion of projects from start to finish.\n\n\t\t\t\t* Proven record of working with content evaluation and \n\t\t\t\tmanagement of documents.\n\n\t\t\t\t* Pro-active work attitude and approach towards solving \n\t\t\t\tproblems as they occur and by using common sense.\n\n\t\t\t\t* Good organizational skills.\n\n\t\t\t\t* Very strong analytical and problem-solving skills.\n\n\t\t\t\t* A very strong sense for diligence and accuracy. \n\n\t\t\t\t* Excellent time management skills: Ability to perform well \n\t\t\t\twhile handling simultaneously several administrative and support \n\t\t\t\tfunctions.\n\n\t\t\t\t* Service and solution-oriented attitude to work.
