The successful candidate should be able to maintain excellent customer relationships, multi-task efficiently and communicate effectively with both customers and co-workers.
Duties & Responsibilities
- Act as the primary point of contact for customers, supporting the day-to-day operations of the company.
- Handle incoming and outgoing calls; primarily booking quote inspection calls and allocating job numbers.
- Proofread quotations before dispatching and manage the diary for the production and sales teams.
- Work closely with sales and production teams to maintain a positive and productive communication line with clients.
- Process customer acceptances accurately.
- Prepare and dispatch quotation-related documents in a timely manner.
- Report on statistics, including quotations prepared, acceptance rate, and marketing success rate.
- Book and reconfirm site visits for inspections. Knowledge of Cape Town areas essential for planning of routes for the inspections.
- Track progress on quotes, sending reminders when necessary and escalating if outstanding.
- Communicate project start dates to customers and coordinate with the finance team regarding deposits.
- Engage with customers post-service to ensure satisfaction and handle final invoicing.
- Monitor debtors.
- Maintain file of accepted quotations and repairs for the Production Manager.
- Assist with stock management.
- Adhoc requests as may be required by management from time to time.
Requirements - Matric or relevant qualification.
- 3 - 5 years of experience in the reception/customer service field.
- Strong communication skills in English and Afrikaans (verbal and written).
- Proficiency in Microsoft Office - Word, Excel and Outlook especially.
- Data entry skills and adaptability to new programs.
- Ability to work independently and collaboratively within a team.
- Familiarity with Cape Town areas.
- Self-motivated and organized; high attention to detail.
- Ability to work in a fast-paced environment.
