Job Title: Training Administrator
Department: Training
Reports to: Training & Compliance Manager
Location: Alrode
Key Purpose:
This role serves to support the administrative aspects of Training and Development within the Company by providing effective and efficient co-ordination and administration of training programs. The incumbent will communicate with internal customers and vendors to facilitate all training programs. In this role, you should combine strong attention to detail with an ability to multi-task and work under pressure. You should also be a reliable problem solver with strong project management skills. You will be responsible for ensuring that our training programs are engaging and run smoothly.
Key Areas of Responsibility:
- Support compliance and implementation of training policies and procedures.
- Maintain electronic files for all support staff in the company shared folder.
- Ensure employee records are timeously and accurately maintained.
- Maintain training records, (matrix, schedules, attendance sheets).
- Engage Managers and relevant stakeholders regarding training and medicals to facilitate training interventions (i.e. training to be completed prior to expiry dates).
- Prepare and disseminate material (instructional notes, feedback forms).
- Act as a point of contact for vendors and participants.
- Ensure that all information is updated on systems timeously and accurately (Mix, Complyworks).
- Effectively assist in all audits related to information pertaining to training and development, by ensuring accurate and timely submission to auditors.
- Ensure that all weekly and monthly reporting is compiled timeously and accurately.
- New Recruits – ensure compliance with policies and procedures by ensuring that all relevant documentation is received.
- Ensure that license verifications are completed timeously.
- Ensure that medically unfit records are submitted to HR for further intervention.
Qualifications / Requirements:
- Minimum of 3 years’ experience in a similar position.
- Proficiency in Microsoft Office.
- Diploma or equivalent Qualification in Training / Human Resources.
- Proven experience as a Training Administrator, HR Assistant or similar role.
- Excellent organizational and multitasking ability.
- Outstanding communication skills.
- Strong attention to detail.
- Coaching and mentoring skills.
- Report writing and analysis.
