About the Role As a Training and Development HR Assistant, you will oversee and execute the end-to-end administration and coordination of our internship and graduate programmes, and related HR activities. Your meticulous attention to detail and proactive communication will ensure the seamless operation of training and development processes within our organization. Key Responsibilities Intern Management & Support: 1. Recruitment & Onboarding: · Draft and distribute internship offers and contracts. · Manage intern appointments, including preparation of employment packages, issuing clock numbers, tags, and coordinating entry medicals. · Update intern databases, WhatsApp groups, and orientation materials. · File and maintain interns records and portfolios. 2. Leave & Absence Management: · Track and record interns leave and sick leave using Excel summaries. · Process and file leave forms and supporting documents in compliance with policies. 3. Performance & Evaluations: · Coordinate mid-year and final evaluations for interns. · Manage communication and scheduling for evaluation meetings. · Address performance-related concerns and feedback. 4. Rotations & Training: · Plan and communicate intern rotations with departmental managers. · Develop training schedules and presentations tailored to program needs. · Facilitate orientation sessions and quizzes to monitor training effectiveness. Recruitment & Marketing: · Develop job advertisements and ensure their distribution across multiple platforms, including social media and career sites. · Foster relationships with schools and universities through regular visits, career fairs, and events. · Screen CVs, summarize applications, and coordinate interviews for intern and graduate program candidates. General HR Administration: · Prepare confirmation of employment letters and recommendations as needed. · Organize intern team-building events and manage community projects. · Administer disciplinary processes and manage exit procedures, including medicals and contract finalizations. Adhoc Duties: Support HR-related events, meetings, and special projects as required. Education: A diploma or degree in Human Resources, Industrial Psychology, or a related field is essential. Experience: At least 1 year experience in an HR administrative role, preferably with exposure to training and development. Skills: · Strong organizational and multitasking abilities. · Excellent written and verbal communication skills. · Excellent people skills. · Ability to take initiative and drive projects. · Ability to work independently. · Ability to collaborate with diverse teams and stakeholders. · Proficiency in Microsoft Office Suite (especially Excel, Word, and PowerPoint).
