Full job description
Afrirent Holdings is looking for a Receptionist and Office Administrator to provide dedicated, professional, and general administrative support, handle and coordinate the activities of the front-office reception, including the booking of meeting rooms, and supervise the General Office Workers.
Responsibilities and Duties
Office Administration and Support
- Monitors and maintains levels of office provisions including stationery, groceries, refreshments, and consumables, for the Head Office and Depots, ensuring that prices are in line with cost-cutting initiatives.
- Requests quotes from suppliers and obtains prior approvals before ordering furniture, equipment, and appliances.
- Maintains an accurate, efficient, and accessible record-keeping and filing system.
- Receives, sorts, and distributes internal mail.
- Makes all travel arrangements as requested.
Front Office and Reception Support
- Acts as an Afrirent ambassador at all times.
- Operates the switchboard efficiently, and answers and correctly directs all incoming calls.
- Takes and relays adequate messages to the relevant employees.
- Handles and resolves client queries as necessary or redirects queries to the relevant department/employee.
- Welcomes and interacts with all guests professionally and makes sure that they are attended to timeously.
- Maintains a neat and tidy reception at all times.
- Maintains an updated telephone directory.
- Coordinates and books meeting rooms.
- Facilitates the preparation of meeting rooms.
- Arranges catering and refreshments as requested.
- Handles all incoming deliveries effectively and efficiently.
- Coordinates and arranges outgoing parcels and documents.
- Coordinates maintenance requests and final repairs by liaising with suppliers and service providers, receives and submits quotes for approval.
Petty Cash Administration
- Maintains accurate supporting documentation in order to manage the petty cash.
- Compiles and submits approved weekly petty cash reconciliations to the Finance Department as per approved procedures.
Office Cleaning Supervision
- Supervises the activities and schedules of the General Workers.
- Supervises the team in line with company policies.
- Fosters a suitable and supportive environment conducive to staff development and the achievement of departmental objectives.
- Implements staff development and training to achieve the unit and organisational objectives.
- Implements performance management, reviews the performance of subordinate staff, and refers performance and disciplinary matters to Human Resources.
- Participates in the recruitment and selection of subordinate staff.
Qualifications
Minimum
- Grade 12 (NQF level 4).
Ideal
- Certificate (NQF level 5) in Office Administration will be advantageous.
Experience
Minimum
- 1 - 2 years’ office administrative/reception experience.
