Job Purpose
The Events Co-Ordinator is accountable for the sharing of all communications relating to events and news happening on campus with staff, internal stakeholders, and students. Accountable for all planning and coordination of events for staff and social events for students.
Key Performance Area
Planning and Coordination of Events:
- Plan and coordinate events as per the national calendar.
- Update campus specific events onto the national calendar.
- Determine and define the requirements per event to inform planning.
- Source venues and suppliers for events.
- Market the event and coordinate invitations and RSVPs.
- Coordinate events and manage them within the budget supplied.
- Manage the event on the day to ensure a seamless delivery.
- Arrange for photos to be taken to document events.
- Build relationships with entities ensuring that safety and OHS requirements are met at venues, making sure students and staff enjoy the event overall.
- Compile a closeout report relating the success and lessons learnt from the event.
Staff Communication Coordination - Implement the campus communication strategy and student support calendar.
- Compile communications for departments as per requirements.
- Distribute communications to all relevant parties.
- Determine and select the correct communication channels.
- Track and check that communications have been received where possible.
- Ensure different departments meet the standard communication protocol.
- Compile and distribute specific staff communications as required by the campus.
Stakeholder And Student Communication Coordination - Compile all relevant communication for students as per the communications strategy and the student calendar.
- Log and action all communication with students.
- Distribute communication to students increasing awareness of what is happening from a campus perspective on the different communication platforms (website, app, CAMS, SMS, etc.).
- Post photos and details of events that have occurred.
Management Of Social And Communications Committee - Manage the Student Council Social and Communication portfolio.
- Work with the head of the student council and relevant stakeholders to plan and coordinate social committee and sub-committee meetings and events.
- Provide training and guidance on event planning and logistics to the social committee.
- Oversee the social committee event planning and execution.
Education - NQF Level 7 Qualification – Degree in Communications / Events Management / Public Relations / Corporate Communications.
Work Experience - 2-3 Years Experience in Event Management.
