Job Description: As an Executive Assistant, you will be responsible for the following:
- Screen phone calls, emails, and correspondence, responding on behalf of the executive.
- Draft and review communication for the executive, ensuring clarity and professionalism.
- Prioritize emails and tasks.
- Take minutes during meetings.
- Handle internal and external communication.
- Discreetly manage confidential information.
- Assist the Project Manager in the completion of projects.
- Manage the executive's calendar, scheduling meetings, and prioritizing appointments.
- Coordinate travel arrangements as needed.
- Assist with the preparation of reports, presentations, and correspondence.
- Anticipate the needs of executives and proactively address them.
- Perform administrative functions for the operations team.
- Provide project assistance, including tracking deadlines, deliverables, and resources.
- Conduct research as needed for executive decisions or projects.
- Support financial and budgeting tasks.
- Manage expense reports and assist in budget tracking for the executive.
- Process invoices and track financial documentation related to the executive’s office.
Qualifications: - Relevant qualification and experience.
- Exceptional organizational and time-management skills.
- Strong communication skills, both written and verbal.
- Ability to manage multiple tasks with a high level of attention to detail.
- Proficiency in office software (e.g., Microsoft Office Suite, Google Workspace).
- Ability to prioritize and adapt in a fast-paced environment.
- High level of confidentiality and discretion.
- Proactive and solution-oriented approach to challenges.
