Full job description

Organize and schedule meetings for the IT department, including with franchise store managers.
Prepare and distribute department documentation, reports, and presentations.
Maintain and update IT-related records, files, and inventory (hardware, software licenses, etc.).
Assist with the documentation of IT processes and procedures.
Act as the first point of contact for stores experiencing basic IT issues.
Log and assign support tickets to the appropriate IT personnel.
Track ticket resolution progress and ensure timely updates are provided to store managers.
Coordinate the purchase of IT equipment and software in line with budget constraints and project requirements.
Track the status of orders and maintain a record of all equipment distributed to stores.
Assist in managing warranties and vendor relationships for IT hardware and software.
Handle the paperwork with suppliers for listing new products.
Ensure all relevant information is accurately captured and updated in the system.
Compile and generate weekly reports comparing Sales vs. Purchases vs. Supplier GRVs (Goods Received Vouchers) and distribute these to each store.
Investigate pricing discrepancies between store prices and head office prices and ensure corrective actions are taken when necessary.
Investigate instances where deals are not loaded onto the system correctly/missing (ensure paperwork is completed and issues are resolved).
Serve as the liaison between the IT team and store managers.
Ensure clear and timely communication of IT updates, scheduled maintenance, and outages.
Manage communication with vendors regarding service agreements, repairs, and software subscriptions.
Provide technical assistance to ensure stores are correctly connected to head office systems, including troubleshooting issues related to store-to-head-office connectivity.
Assist with data entry and maintenance of IT asset management systems.
Support the team in tracking software licenses, renewals, and compliance.
Help maintain databases related to store systems, network setups, and POS systems.
Support the IT team with administrative tasks for ongoing projects, including new store setups and system upgrades.
Assist in tracking project timelines and deliverables.

Qualifications, Requirements and Skills

Matric (grade 12)
Proven experience in an administrative or office assistant role (preferably within an IT environment)
Familiarity with IT terms, systems, and processes is highly desirable.
Proficiency in MS Office (Word, Excel, PowerPoint)
Experience with helpdesk or ticketing systems.
Strong organizational skills (attention to detail/ability to prioritize tasks)
Excellent written and verbal communication skills.
Ability to work independently and collaboratively in a fast-paced environment.
Basic understanding of IT equipment (computers, servers, networking, etc.)
Experience in asset management, inventory control, or procurement.
Prior experience working with retail or franchise operations.

Remuneration Package: Market related package

This is a permanent position based at the Johannesburg office – Parkview. (To start as soon as possible)
