The Executive Secretary will be required to gain and maintain knowledge of the Group and its subsidiaries, key internal and external stakeholders (including employees, financial advisors, product- and service providers, shareholders, clients, relevant authorities and regulators), as well as approved processes and procedures across all business, by having and maintaining this knowledge, the Executive Secretary will be able to alleviate executive management of their general organizational administration and pro-actively assist them in executing their strategic mandates.
People:
- Assist the Chief Financial Officer, Chief Legal, Risk and Compliance Officer and Chief People and Culture Officer with the daily administrative, organizational tasks, duties and projects.
- Interact with all stakeholders.
Processes:
- Diary management, including reminders of important dates and events (e.g., public holidays, school holidays, performance reviews, staff birthdays, resignations, and new employees etc.).
- Screening of calls.
- Typing and preparation of correspondence, documentation, reports and presentations.
- Book and coordinate travel arrangements for the three departments.
- Organize events, meetings, conferences, etc., inviting attendees, and refreshments e.g., strategic sessions.
- Take confidential minutes of meetings, actioning minutes / matters arising, compile and distribute meeting packs and other important information.
- Develop, implement and maintain appropriate filing and record-keeping systems.
- Develop, implement, and maintain information and contact bases, required to support the three EXCO members.
- Assisting with confidential matters.
- Assist with supplier take on, payment and claim documentation and follow up on payments.
