Our team is growing! We are looking for a creative, dynamic, quick-thinking and quick-learning Guest Experience Coordinator (itinerary planner) role based in Cape Town, in a boutique luxury travel company. Must have a passion for sourcing the unique and the “unknown”, be very strong with understanding and planning logistics, have a pain-staking eye for detail, be curious, willing to learn from mistakes and be pro-active about problem-solving, a great communicator (verbal and written), and ideally someone who is naturally leans towards “out the box” thinking.

REQUIREMENTS:
- Cape-town based (hybrid role - offices are currently in Greenpoint) and Cape Town knowledgeable - this is a must, we are a small team and therefore require the new team member to hit the ground running on creating personalized, creative and elevated itineraries.
- Client management, tactful complaint resolution, flexibility around guest needs and preferences, willingness to “show-up” for guests.
- Be willing to be on call outside of traditional office hours - need to man company phone line at times, communicate with guides and drivers even if guests are travelling on the weekends.
- Ability to come up with creative itineraries for guests to experience their destinations in a personalised manner - we are mostly Cape Town/Western Cape focused, though the company is growing its product to include other parts of South Africa and hopefully global offerings in the near future.
- Knowledge of the travel sphere, what is known and what is unique so as to craft special experiences.
- Pain-staking attention to detail is a MUST. We look for this from the moment we open your application.
- Ability to independently research, reach out to and follow-up with partners, create the physical itinerary, communicate proactively and effectively with suppliers for accuracy and creativity, ensuring logistics are exact and accurate. Overall ability for quick turn-around time on enquiries with accuracy and creativity is what we are looking for.
- Advise on group travel when/where necessary. Coordinate complex logistics with regards to group travel.
- Basic accounting abilities - calculating costs of itineraries to accurately quote and invoice.
- Intuitive & pro-active problem-solving.
- Ability to work independently but also reach out to manager and the team of help and ideas. Balanced team-player.
- 5+ years work experience in Events, Travel Industry, or Hospitality is critical. We require someone who can hit the ground running to engage with and manage enquiries immediately.
- Proficient in Microsoft Office Suite (Word, Excel, etc)
- Keep up to date with and accurately advise clients on specifics around logistics, travel requirements, what to expect, etc.
- A good understanding of travel trends.
- Tactful, understanding and kind demeanour with clients.
- Ability to handle issues and complaints gracefully.
- Maintaining a high degree of professionalism and maintaining client confidentiality.
- Strong organisational skills a MUST.
- Develop and maintain strong and positive relationships with suppliers, vendors, clients, and partners.
- Travel expense monitoring and tracking.
- Learn the travel booking system and other tools the company uses.
- Travel trends and cost analysis.
- Knowledge of travel regulations and policies.
- Responsive on team group chat and on Slack.
- Personal accountability is a MUST.
DESIRABLE:
- Event planning experience.
- Working with B2B partners in the luxury travel industry.
- A foreign language.
- Mail chimp and social media abilities.
- Knowledge of "Chase" System.
- Very Strong geographical knowledge for Western Cape, but all of South Africa.
- Having personally travelled.
