Personal Assistant to the Nursing Manager

Education, Qualifications and Experience:

- Minimum of two years’ experience in an office setting as an executive or administrative assistant, preferably in a healthcare setting.

- Intermediate to expert skills with Microsoft Office suite.

- Exemplary organization and administrative skills.

- Excellent communication skills (written and verbal).

- Fluent in English.

Responsibilities:

Providing Assistance to the Nursing Manager:

Weekly reports on effective execution of tasks.
Agendas submitted 48 hours before scheduled meetings.
Accurate and thorough minutes 24 hours after meetings.
Timeous submission of monthly, weekly, and daily reports.
Return all staff and external clients’ emails and calls within the working day.
Collate meeting packs and assist with compilation of presentations 36 hours before the day of presentation.
Assist the nursing manager with managing daily operations of the nursing unit as required.

Assisting Nursing Manager with HR Function:

Direct liaison with all nursing agencies.
Updates of annual, sick, family responsibility, and unpaid leave.
Ensure that all documents for new recruitments for wards are correct.
Send out memos to different stakeholders and Unit managers.
Help with compiling skills reports.
Compile induction packs for new employees.
Assist with staff scheduling and ensure the unit managers have signed each schedule.

Assisting in the Office Environment:

Maintain office supplies.
Reception to all clients that have appointments with the nursing manager.
Sending out all office maintenance requests.

Related Duties:

Attend to all face-to-face, telephonic, and emailed complaints.
Schedule and plan nursing functions as well as training within the hospital.
Book accommodation and/or make travel arrangements for any nursing staff attending training programmes.

Health and Safety Compliance:

Adhere to hospital policies and procedures regarding patient and staff confidentiality.

Ability to commute/relocate:

Louis Trichardt, Limpopo: Reliably commute or planning to relocate before starting work (Preferred).
