Rate of pay: £36,000 per annum
Working pattern: Monday - Friday
Key Responsibilities & Accountabilities:
On-Boarding
• Check right to work documentation and ensure information is recorded on appropriate systems.
• Ensure offer letters and contracts of employment for all new colleagues are requested from the People Team in a timely manner.
• Ensure all other associated new starter paperwork including DBS applications (if applicable), proof of right to work, references, personnel file set up etc are filed and updated regularly.
• Always ensure compliance of safeguarding and safer recruitment procedures (if applicable).
• Support management team with the induction process and assist with ensuring all probation reviews are saved to personnel files.
HR Database and Reporting
• Support management with staff queries on the HR systems.
• Ensure all personnel files are up to date and filing is carried out regularly; ensuring all personal data is correctly filed and stored; close, store and archive leavers' files as per guidelines.
• Ensure tickets are raised with the People Team to action 'change of details' letters for colleagues of all levels and associated paperwork i.e., change to salary, bonus confirmation, promotion letters, change in working patterns and general correspondence in line with role entitlement.
General Administration Duties
• Provide full administrative support to the site management team responsible for producing documents, reports, meeting minutes.
• Respond to reference requests for current or pre-existing colleagues.
• Ensure company processes are being followed (eg Return to Work, absence recording etc) by all management, reporting any breaches of company policies direct to the Account Director.
• Assist the management team in ensuring all training records for staff are accurate and up to date.
• Ensure appropriate security for all employee related data, with strict observance of departmental confidentiality and data protection.
• Check the Fourth System daily to keep up-to-date records of staff working schedules - resulting in an accurate up-to-date labour forecast (including agency cost) for budgeting purposes, and the actual labour for payroll.
• Manage administrative systems for diary management and the coordination of holidays within the site team.
• Assist management with recruitment on a daily basis.
• Liaise with Payroll department regarding payroll issues if necessary.
