IntroductionOur Clientprovides transport services across Colchester, Maldon and Chelmsford. The scheme seeks to address inaccessibility to services, activities and facilities. The scheme improves the transport provision for people in the local community who have limited mobility (be it through permanent or temporary disablement, illness, accident or age) or who would otherwise be socially excluded or geographically isolated through rurality.
Our transport scheme provides door to door transport to and from appointments, medical centres, shopping centres, and encourages visits to therapy, friends and relatives. In addition, all locations offer a range of hugely popular excursions offering the opportunity for members to meet new people, enjoy good health and wellbeing and reduce social isolation.
Purpose of JobTo deliver a quality, responsive range of transport services in accordance with contracts and service level agreements.
You will oversee the fleet of minibuses, ensuring they are fully compliant, legal, fit to drive and all works are recorded appropriately.
Driving the 16 seater Minibus as and when required.
You will be accountable for monitoring and reporting on performance within the defined project area. This will involve highlighting any issues to the Executive Leadership Team and identifying appropriate action to be taken.
You will also be required to attend all relevant meetings in line with the delivery plan.
Principal DutiesScheduling/administrationWork closely with the Team to ensure the smooth running of the Transport Scheme.
Ensure the timely and efficient scheduling of all trips, administering and maximising all service bookings, organising the drivers transport schedules and producing daily passenger lists.
Ensure the allocation of volunteers or paid drivers to the routes schedule and ensuring the efficient use of vehicles.
Ensure the accurate and timely data input into database. Maintain accurate records of users, voluntary drivers and bookings on the database to enable monitoring and assessment of the service. Collate and maintain journey statistics through a variety of IT applications for reporting to our clients trustees, Senior Management Team and Funders.
Support the processing of new and renewal membership applications, promoting the scheme whenever and wherever possible.
Generate and distribute monthly invoices to account customers. Work closely with the Community Accounts Service (CAS) to ensure outstanding invoices are settled on time and in line with our procedures.
Ensure that telephone enquiries are dealt with in a polite and informative manner consistent with C360s policies and commitment to customer care.
Market the transport scheme across a range of platforms including social media and website contributing information for case studies, press releases and testimonials pre-approved in line with our policies and procedures.
Undertake general office duties as required (general administration, photocopying, printing, filing etc).
Fleet ManagementManage a fleet of minibuses (up to 16 seaters); ensuring efficient movement between sites when required. Also ensuring vehicles are compliant and legal and basic maintenance is conducted.
Maintain and support the development and day to day operational delivery of the community transport schemes, across all sites, utilising the database to its full potential.
Be the point of contact for paid and volunteer drivers to respond to vehicle issues.
Ensure all staff are trained and communication remains at the forefront of delivery with particular emphasis on drivers.
Ensure cost effective solutions are at the forefront of delivery, to include but not limited to:
Minibus maintenance
Dead Mileage claims social car drivers
Travel expenses
General office requirements such as postage, stationery etc
Provide timely, regular reports for the CEO and the Board of Trustees and where appropriate attend committee meetings.
Take responsibility for staff/volunteer rotas ensuring cover of services is fully optimised.
At times, be prepared to drive minibuses as required anything up to a 16 seater
Oversee that the minibuses are at all times kept in a clean and safe condition, both inside and out.
GeneralAssist in supporting the growth of the volunteer drivers. Support the Volunteer Coordinator in interviewing, inducting and ensuring all appropriate training is delivered prior to driving vehicles. Provide support to volunteers once inducted.
Provide high level clerical and administration work using MS Office 365 and various databases for the production of correspondence, minutes, reports, forms and publicity material.
Promote and attend our services through publicity, talks, and exhibitions, identifying opportunities for development.
Undertake any other work deemed necessary by the CEO to further the aims and objectives ofour cllient.
Keep abreast of current social, economic, political, environmental, legal and other trends and developments which are likely to influence the work of the running of a transport scheme.
Assist with the Essential Living fund Furniture project which involves sourcing second hand/new furniture, delivering and installing to homes in the Colchester and Tendring areas.
Working Monday to Friday 37.5 hours a week
Annual Salary of £32 a year.
