Our client, a professional services firm, is looking to hire a Business and Finance Team Administrator to join their team based in Somerset West as soon as possible.
Overview: The Business and Finance Team Administrator will support the firm's operations and client experience, working closely with finance and business teams to develop and execute essential administrative processes.
Key Responsibilities:
Proposal Management:
- Lead the GoProposal process to ensure accurate and timely client proposals.
- Deploy accepted proposals into Karbon, capturing all relevant details.
- Oversee client onboarding, ensuring a smooth transition from proposal to engagement.
- Manage initial client communications and check-ins.
- Ensure consistency between invoicing and work deployment.
- Maintain accurate client data across platforms like Xero, Grist, Karbon, and Greatsoft.
- Manage SLA renewals and amendments.
Offboarding Process:
- Manage the client offboarding process, ensuring all steps are completed and communicated effectively.
Staff Onboarding & Offboarding:
- Support smooth transitions for staff members during onboarding and offboarding.
Administrative Tasks:
- Perform ad hoc administrative tasks to support the finance team.
Billable Work:
- Assist with the administrative aspects of FM/CFO retainers.
Key Competencies & Experience:
- 3-5 years in an administrative role within a professional services firm.
- Strong project management and administration skills.
- High attention to detail, especially in proposals, data management, and invoicing.
- Client-focused, with the ability to understand and meet client needs.
- Ability to streamline and improve business processes.
- Effective team collaboration and excellent communication skills.
