COMPANY DESCRIPTION: Our client is a South African pharmaceutical benefits management (PBM) organization specializing in electronic claims processing and the management of medicine benefits. They are looking for a Payroll and HR Administrator to join their team.
JOB DESCRIPTION (PURPOSE):
- Manage the end-to-end payroll and payroll-related accounting function for all employees on the employee database and payroll system.
- Responsible for the smooth and efficient provision of HR administration (including recruitment, benefit management, and payroll processing services) to the business.
- Ensure that all payroll payments and approvals are made in line with legislation, company policies, processes, and procedures.
- Maintain employee HR records (physical and virtual) including leave management.
- Requires an experienced customer-focused HR/payroll professional with a keen eye for detail and the ability to improve and optimize systems and processes.
- Meticulous attention to detail, strong organizational skills, and a thorough understanding of payroll regulations and procedures are required.
MAIN DUTIES & RESPONSIBILITIES:
Recruitment and Selection
- Assist with the recruitment and onboarding process, including posting job openings, scheduling interviews, conducting risk & reference checks, and facilitating new hire orientations.
- Draw up internal and external adverts using job descriptions with input from the line manager & HR Manager.
- Place internal advertisements on Viva and send external adverts (when applicable) to recruitment agencies.
- Once the successful candidate has been selected and signed off by the Director, draft a letter of employment and ensure all necessary documentation is completed in line with the onboarding process with the relevant parties.
HR Administration
- Assist with drafting of transfer letters, promotion letters, and amended contracts given to employees.
- Ensure relevant paperwork is completed for appointments, terminations, and any movements (update HR system & payroll system).
- Update all schedules from an appointment, termination, transfer/promotion perspective.
- Administer the long service award process (certificates and letters).
- Schedule training courses and manage administration thereof including liaison and sourcing of training providers when required.
- Manage the administration of company benefits (Provident Fund, Group Life, Critical Illness, Funeral, and Medical Aid) such as addition and termination of members, changes, and monthly reconciliations/billing.
- Maintain employee files and resolve employee queries.
- Issue certificates of service and UIF documentation to all terminated employees.
- Provide support for all HR Projects and Initiatives.
- Administer company benefits policy and forms e.g. pension, medical aid, and other benefits administration.
Reporting and Systems
- Prepare all monthly payroll reports including leave provision reports, finance reports.
- Assist with compliance reports (employment equity, skills, and BEE) and any other projects when required.
- Run and draw up ad hoc reports as required.
- Update and maintain employee information on HR System and payroll system.
- Maintain personal records of employees on matters such as disciplinaries and training, and prepare associated management reports.
Compensation - Payroll Processing
- Accurately process the payroll and all related functions/tasks on a monthly basis on the Payroll system according to best practices, legislation, and internal processes for all companies.
- Ensure accurate and timely processing of payroll updates including new hires, employee internal movement, terminations, and changes to pay rates.
- Collect, calculate, and enter data to maintain and update payroll information.
- Compile summaries of earnings, taxes, deductions, leave, disability, and non-taxable wages and report on this.
- Resolve payroll discrepancies and maintain payroll operations by following policies and procedures.
- Administer the leave system and ensure leave taken is in line with policy.
- Reconcile and calculate the monthly provision for leave due to employees for submission to finance.
- Load new employees on payroll and ensure sign-off by HR Manager.
- Calculate overtime each month for all approved staff and process on the payroll.
- Review the general ledger report to ensure accurate financial information for import into Intacct once payroll has run.
Compliance - SARS
- Process Mid-Year Tax and submission to SARS via Easyfile.
- Process Tax-Year End and preparation of IRP5s and submission to SARS via Easyfile.
- Responsible for EMP201s submission.
Compliance - Audits
- Conduct regular audits to ensure accuracy of payroll data and resolve discrepancies.
- Print and file payroll reports required for audit purposes on a monthly basis.
- Liaise with external auditors and address all queries (all HR and payroll related) raised via the audit process.
EDUCATIONAL REQUIREMENTS:
- Grade 12
- Payroll and/or HR Qualification.
- PaySpace Payroll System Course (advantageous).
EXPERIENCE AND SKILLS REQUIRED:
- At least 3 years experience in HR Generalist or HR/IR admin.
- Minimum 3 years experience on PaySpace.
- Basic accounting knowledge.
- Understanding of African payroll.
- Thorough understanding of payroll principles, practices, and regulations.
- General Ledger Reconciliation of payroll accounts.
- End-to-end payroll processing and HR assistance experience.
- Sound knowledge of South African Labour Law.
- Excellent numerical and analytical aptitude.
- Attention to detail.
- Well-developed communication and interpersonal skills.
- Intermediate MS Office skills, especially Excel.
- High level of integrity and discretion.
- Team player.
- Works well under pressure and deadline driven.
