Your Future Starts Here PURPOSE OF JOB:We are looking for an assistant office manager to join our facilities department working primarily out of our Reading office, this role will look after all office related responsibilities including a number of administrative , diary management activities. KEY RESPONSIBILITIES:Manage office operations alongside the facilities manager and landlordAssist Facilities Manager and Facilities Team with ad hoc TasksAdmin duties for CCO - diary management, travel bookings etcOccasional travel to Leatherhead required to assist with Reception coverGreet all incoming visitors and contractors into the Reading officeLiaise with third party contractors to include cleaners, security etcStock check and order office supplies and equipmentReceive, sort, and distribute incoming mail.Meet and greet all visitors, ensure they are checked, provide relevant guidanceManage meeting roomsManagement of Vendor bookings Assistance with on-site eventsSet-up & set-down meeting rooms each morningAssist with Sales Intake days – liaise with Divisional Director for requirements Manage Goods-in and deliveries Manage vending machine Manage bookings for staff onsite massage servicesOrder buffet lunches when required Order and take delivery of food supplies weekly Keep a log of all Reception purchases Raise Purchase Orders for any items purchased ie: Amazon, FlowersEnsure Health & Safety compliance – PAT Testing etcProvide assistance to Fire Wardens and First Aiders QUALIFICATIONS, EXPERIENCE, & SKILLS: Educational Qualifications:GCSE A-C in English & Mathematics - Essential Years of ExperienceExperience in working in a similar front of house / office management role - Essential CORE COMPETENCIES & SKILLSStrong Communication & Interpersonal skillsGood attention to detailComfortable with diary management Strong organisation skills
