Our team is growing! We are looking for a creative, dynamic, quick-thinking and quick-learning Guest Experience Coordinator (itinerary planner) role based in Cape Town, in a boutique luxury travel company. Must have a passion for sourcing the unique and the “unknown”, be very strong with understanding and planning logistics, have a pain-staking eye for detail, be curious, willing to learn from mistakes and be pro-active about problem-solving, a great communicator (verbal and written), and ideally someone who is naturally leans towards “out the box” thinking.
Requirements
REQUIREMENTS:
- Cape-town based (hybrid role - offices are currently in Greenpoint) and Cape Town knowledgeable.
- Client management, tactful complain resolution, flexibility around guest needs and preferences, willingness to “show-up” for guests
- Be willing to be on call outside of traditional office hours - may need to man company phone line at times
- Ability to come up with creative itineraries for guests to experience their destinations in a personalised manner
- Knowledge of the travel sphere, what is known and what is unique so as to craft special experiences
- Pain-staking attention to detail is a MUST
- Ability to independently research, reach out to and follow-up with partners, create the physical itinerary, communicate proactively and effectively with suppliers for accuracy and creativity, ensuring logistics are exact and accurate
- Advise on group travel
- Basic accounting abilities - calculating costs of itineraries to accurately quote and invoice
- Intuitive & pro-active problem-solving
- Ability to work independently but also reach out to manager and the team of help and ideas. Balanced team-player
- 5+ years work experience in Events, Travel Industry, or Hospitality
- Proficient in Microsoft Office Suite (Word, Excel, etc)
- Keep up to date with and accurately advise clients on specifics around logistics, travel requirements, what to expect, etc
- A good understanding of travel trends
- Tactful, understanding and kind demeanour with clients
- Ability to handle issues and complaints gracefully
- Maintaining a high degree of professionalism and maintaining client confidentiality
- Strong organisational skills a MUST
- Develop and maintain strong and positive relationships with suppliers, vendors, clients, and partners
- Travel expense monitoring and tracking
- Learn the travel booking system and other tools the company uses
- Travel trends and cost analysis
- Knowledge of travel regulations and policies
- Responsive on team group chat and on Slack
- Personal accountability is a MUST
DESIRABLE:
- Event planning experience
- Working with B2B partners in the luxury travel industry
- A foreign language
- Mail chimp and social media abilities
- Knowledge of "Chase" System
- Strong geographical knowledge
- Having personally travelled
