Service and Spares Controller/Administrator
The candidate must have the following attributes:
- Must have a minimum of Grade 12 Education (A higher education will be a definite advantage).
- Must be a fluent Home language English speaker.
- Must be capable of high level communication in English, written and verbal. Writing must be legible.
- Must be totally proficient in generating cost calculations in MS Excel (i.e.: Cost Calculations with various currencies, Quotations, Delivery Notes).
- Must be totally proficient with Sending and Replying to Emails while keeping all staff informed.
- Must be totally proficient in general admin and good organisational skills.
- Must be totally proficient in keeping stock control records.
- Must be totally proficient keeping all documents up to date.
- Must be able to report daily activities using MS Word on the candidate's daily activities.
Personal Requirements:
- Must be well presented and groomed.
- Must be able to professionally interface with other staff members in the Company and our Customers.
- Own reliable transport.
- Residing in or around Edenvale / Modderfontein area.
Job Duties for Service and Spares Department:
- The candidate will pick up all incoming Service calls from the company Machine Users.
- The candidate will receive all emails from our customers/users requiring Technical Assistance and machine Spare Parts.
- On receiving information from our customers/users, the candidate will interface with our Service Manager and present the customers’ requirements.
- The Service Manager will furnish the candidate with the exact Technical details and Part Numbers.
- The candidate will email our supplier's Worldwide Parts Centres for the Prices and Delivery Times for the required Spare Parts.
- When the candidate receives the required information back by email, the candidate will then do the MS Excel Cost Calculation and generate the detailed quotation for our customer.
- The candidate will then follow-up on his email and the customers/user will submit their Written Purchase Order.
- The candidate will then prepare our Company Purchase Order and email the same to the relevant supplier's Worldwide Parts Centres.
- The candidate will accept and sign for the various consignments when the Freight Forwarders’ truck delivers packages at the company's warehouse.
