Purpose Of Role Provide a receptionist / administrative support function. Articulate and polite interaction with customers and work colleagues related to both sales and service matters.
Key Accountabilities - Carry out receptionist functions as well as sales and service administrative duties to support the daily functions of both the sales and service team to meet the demands of the customer and business objectives.
- Filing of Sales and Service documentation and maintaining of filing system.
- Administration of all incoming enquiries, orders and quotations.
- Processing orders onto the SAP system including Sales, Spare Parts and Service.
- Receiving of stock onto the SAP system.
- Processing delivery notes from Branch level.
- Updating expediting list for weekly meetings.
- Taking minutes for all weekly Office and Sales meetings.
- Telephonic duties include but not limited to:
- Assisting customers with queries.
- Provide feedback on repair progress and completion dates when requested.
- Redirect customer service related queries of a non-commercial nature to the responsible Production/Operation departments.
- Expediting of quotations.
- Relaying enquiries and queries to the responsible office staff member if and when needed/required.
- Liaise with client for collection or delivery, testing where applicable, and job progress.
- Completing requisitions for authorization.
- Petty Cash recons and compiling recons for authorization.
- Liaise with Admin staff in Johannesburg, and remain in full compliance regarding company Policies & Procedures.
- Assist fellow employees with daily functions as and when required.
- Carry out all other reasonable tasks that may be delegated from time to time.
