Purpose: Taking customer orders and then capturing these orders on the system. Preparing quotations for customers. Invoicing customers. Continuous communication between external customers as well as internal personnel. Customer queries and complaints are dealt with professionally and quickly.
Key Result Areas:
- Input, print and file orders and confirmations received from customers daily.
- Liaise with Sales Division in connection with customer queries daily.
- Follow up on outstanding orders and stock daily.
- Process credit notes as required.
- Process invoices as required.
- Assisting with exports and imports as required.
- Printing and distributing daily reports as required.
Main Interactions – Internal:
- Customer Services Officer: Discuss customers’ requirements as required.
- Sales Team: Discuss customers’ requirements as required.
- Despatch: Enquiring about availability of transport for deliveries as required.
- Credit Controller: Discuss queries on customer accounts as required.
- Production Manager: Discuss customer requirements as required.
Main Interactions – External:
- Customers: Taking orders and attending to queries as required.
Qualifications:
Matric / Grade 12
Experience:
A minimum of 3 years’ experience in a similar role related to customer interaction.
Knowledge:
Knowledge of software systems as per company standards.
Skills & Behaviour:
Social and interpersonal skills are essential combined with confidence and the ability to display the right attitude to the customer and the Customer Service Department at all times. Ability to work methodically and to retain composure at all times when the workload increases to exceptional levels. Empathy, diligence, analytical, persuasive and judgement skills are all critical in this role, along with patience and honesty and the ability to demonstrate the Team Working philosophy – “let's all pull together.”
Problem Solving & Complexity:
This is a key, communicative role with direct point of contact between our customer, operations and marketing. Focus, attention to detail and retrieval of information are all essential in this role of managing people’s expectations.
