The role includes monitoring and distributing inquiries, managing quotes and payments, providing sales guidance, and managing the CRM database (HubSpot, Zoho, Tourplan). It offers flexibility in working hours, is based in Cape Town, and requires no additional language skills beyond English.
Minimum Qualifications and Experience:
- 3+ years of Tailormade/Series quoting in SADC tour operations (groups/FITs)
- Strong knowledge of Southern/East Africa and Madagascar
- 1+ years of leadership/management experience in tour operations
- Proficient in Tourplan, HubSpot, or equivalent systems
- Skilled in problem-solving, statistical analysis, and proactive planning
- Excellent communication and relationship-building skills
Duties and Key Responsibilities:
- Respond to new inquiries and distribute to consultants
- Ensure inquiries are replied to within 24 hours and meet company standards
- Produce weekly and monthly sales statistics
- Report on trends and provide analysis
- Offer guidance on itineraries and client/agent issues
- Ensure sales and office procedures are followed (responses, invoices, vouchers, etc.)
- Track tasks by sending “tests” to other departments
- Manage leave and flexi-time rosters
- Distribute team workloads and check high-value quotes
- Handle ad hoc quotes and reallocate as needed
- Assist with complaint handling and resolution
- Manage CRM system for long-term benefit
- Provide staff training and conduct performance reviews
- Handle disciplinary reviews if needed
- Attend meetings with senior management to review performance and plan improvements
