Key Responsibilities:
- Executive Support
- Manage and prioritize the CEO’s diary, scheduling appointments, meetings, and events.
- Oversee and support the CFO.
- Act as a gatekeeper, ensuring efficient time management for the CEO.
- Monitor and manage the CEO’s email inboxes, respond on behalf where appropriate, and ensure timely follow-up on all emails and communication.
- Project Management and Strategic Oversight
- Oversee interns, analysts, and service providers, ensuring alignment with organizational goals.
- Act as a liaison for the strategy unit, keeping the CEO and team updated on project progress and critical changes.
- Assist with updating and tracking key documents, including the strategy document tracker, proposal tracker, and other project management tools.
- Set up and streamline key processes to support organizational growth.
- Financial and Expense Management
- Coordinate and manage income and expense sheets for various projects.
- Follow up on all invoices and liaise with the accounting team.
- Support with invoicing and tracking client contracts, ensuring timely renewals and updates.
- Communications and Correspondence
- Draft and prepare confidential correspondence, including acknowledgment letters, personal correspondence, and proposals.
- Handle all CEO travel arrangements, accommodation bookings, and logistics for keynote engagements and workshops.
- Manage daily communications, including WhatsApp, phone requests, and any client-related interactions.
- Event and Meeting Coordination
- Arrange functions, conferences, briefing sessions, and events for the CEO, ensuring all logistical aspects are handled.
- Attend and contribute to diary alignment and operational meetings.
- Serve as the primary contact for strategy communications, arranging strategy workshops and other relevant sessions.
- Office and Personal Management
- Manage office needs, including general organization and document management (uploading contracts, keynotes, etc. to the drive).
- Provide personal assistance to the CEO, handling family and home-related requirements.
- Address ad hoc requests and tasks from the CEO and CFO.
Skills and Qualifications:
- Proven experience as an Executive PA supporting C-level executives.
- Strong project management skills, with the ability to manage multiple priorities and deadlines.
- Exceptional communication skills, both written and verbal.
- Advanced proficiency in Microsoft Office Suite and other relevant software.
- High degree of confidentiality, professionalism, and discretion.
